# What is a point of sale (POS)?

> A POS processes every sale: it charges, prints the receipt, deducts inventory and keeps a record. What it does, what a modern one includes and when to get one.

A **point of sale** (POS) is the system that processes every sale in your business. It charges the customer, prints the receipt, deducts the item from inventory and keeps a record of the transaction so you can read it later.

In 2026 it is no longer a cash register with a drawer. It is software. It runs from any phone, tablet or computer browser, and ties together payments, products, customers and reports in one place.

## The 3 things a POS must solve

Any POS needs to do these three things well:

* **Charge fast.** Find the product, add to ticket, apply discounts or tips, charge and issue a receipt. If it takes more than 30 seconds per average customer, the POS is not doing its job.
* **Keep your inventory current.** Each sale deducts what the customer took. Without this, you sell what you no longer have and your margins fall apart.
* **Give you visibility.** Know what sold, how much hit the cash drawer, which product brings the most margin, when traffic peaks. Without this you are operating blind.

If a POS does not cover all three, it is just a register with a nicer interface.

## What a modern POS includes in 2026

Beyond checkout, a POS today includes:

| Feature | What it does |
| ---------------------------------- | --------------------------------------------------------------------------------------- |
| **Multi-method payments** | Cash, transfer, card via external terminal and tipping in a single flow |
| **Variants, modifiers and combos** | "Vanilla latte, large, with almond milk" without creating 40 separate products |
| **Kitchen display (KDS)** | Kitchen sees the order automatically, no paper, no shouting |
| **Multi-location** | Run several locations from a single catalog and consolidated reports |
| **Digital points card** | Customers accumulate points in Apple Wallet or Google Pay and come back |
| **CFDI 4.0 invoicing** | Invoice customers who request it, directly from the POS, no extra software |
| **Real-time reports** | Cash close, P\&L, margins and top products without manual spreadsheets |
| **AI assistant** | Ask in plain language "what sells best on Sundays?" and get an answer with real numbers |

## When you actually need a POS

* You process 10 or more tickets per day.
* You have employees who handle checkout (not just you).
* You move inventory (not pure services).
* You want to understand your business with data, not intuition.
* You want your customers to come back more often.

## When you do not need one yet

If you sell 3 things a day from home, a notebook and a calculator may be enough. A POS starts to pay off when:

* You spend time reconciling cash at end of day.
* You do not know whether product X is profitable or losing money.
* Your employees handle checkout and you cannot see how.
* Your customers are recurring but you have no way to reward them.

Before that, a free system or a notebook is fine.

## How to pick the right one

Four questions to avoid picking wrong:

1. **Does it run in the browser?** If it forces you to buy specific hardware (drawer, proprietary printer, branded terminal), you are overpaying.
2. **What commission per sale does it charge?** The right answer is zero. If they take a percentage of every transaction, the cost scales with your business.
3. **Does it include a digital points card?** Getting a new customer costs more than keeping one that already knows you. If your POS does not help you retain, it is missing a leg.
4. **Can you try it before paying?** Any serious POS lets you try for free. If they want an annual contract before you touch it, keep looking.
